Cancellation, Refund & Payment Policy

1. Introduction

This Cancellation, Refund and Payment Policy ("Policy") governs all bookings made with Tayla Gilson ("the Trainer", "I", "me", "my"). By booking any session or package, the client ("you", "your") agrees to be bound by the terms set out in this Policy.

This Policy forms part of the contractual agreement between you and the Trainer and should be read in conjunction with any other terms and conditions provided at the time of booking.

2. Payment Terms

2.1 Upfront Payment Requirement

All sessions and packages must be paid in full at the time of booking, prior to the commencement of any training. Payment on the day of the session is not accepted under any circumstances. Failure to make payment in advance will result in the booking not being confirmed.

2.2 Accepted Session Types

The following monthly packages are available, each requiring a minimum commitment of 6 months:

  • Bronze — 1 session per week, billed monthly by direct debit

  • Silver — 2 sessions per week, billed monthly by direct debit

  • Gold — 3 sessions per week, billed monthly by direct debit

 

Clients who choose to pay for the full 6-month term upfront will receive a 10% discount on the total package price. All payments are non-refundable except as set out in this Policy.

2.3 Package Expiry

Monthly packages are based on a fixed number of sessions per week within each calendar month. Sessions do not roll over to the following month. Any sessions not attended, or cancelled with less than 24 hours' notice, will be forfeited without refund or credit.

 

Goodwill Carry-Over As a gesture of goodwill, clients may carry over a maximum of one (1) missed session per calendar month, subject to the following conditions:

  • Cancellation notice must be given at least 24 hours prior to the scheduled session start time

  • The carried-over session must be used within the immediately following monthly period

  • This is granted at the sole discretion of the Trainer and is not an automatic entitlement

  • Last-minute cancellations and no-shows do not qualify under any circumstances

  • The allowance is capped at one session per calendar month regardless of the number of sessions missed

3. Cancellation & Rescheduling Policy

3.1 Required Notice Period

A minimum of 24 hours' notice is required for all cancellations and rescheduling requests. Notice must be provided directly to the Trainer via WhatsApp or email at gilsongainspt@outlook.com.

The 24-hour notice period is calculated from the scheduled start time of the session. For example, if a session is booked for 10:00am on a Monday, notice must be received no later than 10:00am on the Sunday immediately preceding that session.

3.2 Late Cancellations & Non-Attendance

If you cancel or request to reschedule with less than 24 hours' notice, or if you fail to attend a scheduled session without prior notice, the following will apply:

  • The session will be deemed to have taken place and will be deducted from your block, or charged in full if a single session.

  • No refund, credit, or substitute session will be offered.

  • No exceptions will be made to this rule, including in cases of illness, work commitments, personal emergencies, or any other circumstance.

This policy is strictly enforced in order to protect the Trainer's time and livelihood. By booking a session, you acknowledge and accept this condition in full.

3.3 How to Cancel

All cancellation and rescheduling requests must be submitted directly to the Trainer via one of the following methods:

Verbal cancellations made in person or by phone call are not accepted as formal notice. Cancellations must be made in writing via the above channels to be considered valid.

4. Refund Policy

4.1 Packages

Monthly packages are billed by direct debit at the start of each monthly period and are non-refundable once payment has been taken for that month. If you wish to cancel your package within the minimum 6-month term, you remain liable for all outstanding monthly payments due within that term. Requests to exit a contract early will be considered on a case-by-case basis at the sole discretion of the Trainer and do not carry an automatic entitlement to a refund. Clients who have paid the full 6-month term upfront are not entitled to a refund for any unused portion of the term except at the sole discretion of the Trainer.

4.2 Cancellation by the Trainer

In the event that the Trainer is required to cancel a scheduled session, you will be offered one of the following remedies:

  • A full rescheduled session at a mutually agreed alternative date and time, or

  • A credit applied to your account for future use

The Trainer will endeavour to provide as much notice as possible in the event of a cancellation on her part. No financial compensation beyond rescheduling or credit will be offered.

5. Amendments to This Policy

The Trainer reserves the right to amend this Policy at any time. Clients will be notified of any material changes, and the updated Policy will be made available on the Trainer's website. Continued use of the Trainer's services following notification of any changes constitutes acceptance of the revised Policy.

6. Acceptance of This Policy

By making a booking and submitting payment, you confirm that you have read, understood, and agree to be bound by this Policy in its entirety. If you have any questions regarding this Policy prior to booking, please contact the Trainer directly at gilsongainspt@outlook.com.
